Job Summary:
办公室服务专员
该岗位需协助办公室服务经理处理迪士尼幻想工程上海办公室的日常运营工作,确保办公室环境专业、安全、整洁、高效且环保。
职责:
1. 管理迪士尼幻想工程上海办公大楼主要会议室及设施的线上预订系统。
2. 协助办公室经理组织公司大型活动,如上海幻想工程全体员工大会、节日庆祝活动、年度派对等。
3. 以创新思路规划和组织各类活动,确保活动高质量、按时落地。
4. 对接外部供应商与内部资源,解决活动可能出现的问题。
5. 与所有相关方保持频繁、积极的沟通。
6. 协助经理处理办公室搬迁、装修协调及新办公室搭建等工作。
7. 负责办公室家具与资产仓库管理、记录管理、办公室钥匙管理等。
8. 为上海幻想工程办公大楼设施及会议室设备提供支持,必要时协调供应商进行故障排查与现场维护。
9. 协助办公室经理管理办公大楼清洁服务、保洁人员及相关合同。
10. 协调新员工入职座位安排。
11. 管理上海幻想工程办公室服务邮箱与日历。
12. 按需向办公室员工发布各类行政通知,如活动通知、设施维修通知等。
13. 管理上海幻想工程活动中心的预订事宜。
14. 负责办公室所有节日装饰(春节、圣诞节、万圣节等)。
15. 分配办公室电话号码。
16. 按需采购办公用品。
17. 按需为高管差旅提供支持。
18. 完成经理交办的其他临时工作或项目。
任职要求:
• 学历专业:大专及以上学历,优先考虑行政管理、财务、经济或语言类专业。
• 工作经验:至少3年工作经验,优先考虑具备跨国公司行政管理/办公室服务、设施管理、财务、经济、工程、建筑、项目管理相关背景与知识的候选人。
• 语言能力:英语和普通话听说读写流利。
• 软技能:
• 优秀的人际交往与沟通能力,具备团队合作精神。
• 能适应多元文化、快速变化的工作环境。
• 注重细节,具备高度的组织能力。
• 能在紧张的时间节点下合理安排工作优先级。

Specialist, Office Services
Line of Business: Walt Disney Imagineering
Location: Shanghai, China
Job Summary:
The role of Specialist, Office Services helps the Office Service Manager manage the day to day operations of Walt Disney Imagineering (WDI) Shanghai office to ensure the office is professional, safe, clean, tidy, efficient, and environmental friendly.
Key Responsibilities:
- Manage the online booking systems of main conference rooms and facilities of WDI Shanghai buildings;
- Support the office manager to organize company big events, like WDI Shanghai Town hall/All Hands, holiday celebrations, WDI Shanghai annual party, etc.
- Planning and organizing various events with innovative ideas and ensuring events delivered are in good quality and on schedule;
- Working with external vendors and internal resources to solve the possible event challenges;
- Maintaining frequent and positive communications with all stakeholders;
- Support the Manager with office moves, office renovation coordination, as well as new office set-up, etc.;
- Office furniture and asset warehouse management, record management, office keys management, etc.;
- WDI Shanghai buildings facilities and meeting room equipment support, coordinate with vendor for trouble-shooting and on-site maintenance (if needed);
- Help Office Manager in managing WDI buildings cleaning service and janitors and related contracts management;
- New hire on board seating coordination;
- Manage the WDI Shanghai Office Services mailbox and calendar:
- Publish various administrative announcements to cast members in office as needed, such as event notice, facility repair notice, etc.;
- Manage the booking of WDI activity center;
- Responsible for all holiday decorations in the office (Spring festival, Christmas, Halloween, etc.);
- Office telephone numbers allocation;
- Office supplies order as needed;
- Executive travelers support as needed;
- Other ad-hoc work or projects assigned by the manager.
Desired Qualifications:
- College degree or above, major in Administration, Finance, Economics or Language is preferred;
- At least 3 years’ working experience, preferably in administration or office services function in a multi-national company, facility management, finance, economics, engineering, construction, project management background and knowledge is preferred;
- Fluent in both spoken and written English and Mandarin;
- Excellent interpersonal, communication skills, and a good team player;
- Ability to work in a diversely cultural and fast-changing environment;
- Detail-oriented, highly-organized;
- Ability to prioritize the work under a tight timeline;
- Excellent computing skills and knowledge in Microsoft Office;
- Optimistic, Patient, flexible, and enjoying the office service work;
- Problem-solving skill;
- Proactive and self-motivated.
